FSA Deadline Checklist for Austin Wellness Spending

An Austin-friendly checklist for using FSA or HSA dollars on wellness testing and coaching before your plan year closes, including paperwork to gather.

Every December we get the same call from clients across Austin: "I have FSA money left and I lose it in three weeks — can I use it here?" Sometimes yes, sometimes no, and the difference is almost entirely paperwork you could have gathered in October. This is general information rather than tax advice; your plan administrator and tax professional decide what your account allows.

First, find out which account you actually have

An HSA rolls over year to year and follows you between employers. A Flexible Spending Account usually does not: most plans forfeit the remainder at year end, some allow a small carryover, and some give a grace period into mid-March. Limited-purpose FSAs cover dental and vision only. Ten minutes in your benefits portal tells you which of those four situations you are in, and that single fact changes how urgent the rest of this list is.

The checklist

  1. Pull your remaining balance and the exact deadline. Write the date down. Grace periods and carryover limits differ by employer even inside the same insurer.
  2. List what you already know you need. Body-composition scans, metabolic breath testing, lab panels and coaching blocks are all easier to substantiate when they are scheduled and itemized rather than lumped together.
  3. Run the qualification screen. Our HSA/FSA resource page walks through a short flow so you know where a service is likely to land before you pay for it.
  4. Ask a licensed provider about a Letter of Medical Necessity. When a documented health condition is in play, the letter names the condition and the services, and it is what an administrator asks for if a charge is ever questioned.
  5. Book the measurable items first. Testing has a date, a receipt and a result attached to it, which makes it the cleanest kind of qualified spending.
  6. Collect itemized receipts. Date, service description, amount, provider name. A credit-card statement line is not enough.
  7. Submit before the holidays. Administrators slow down in late December, and clinics in Austin book out. The last two weeks of the year are the worst time to start.

Where the money usually goes furthest

If you have a few hundred dollars to use and no obvious medical expense pending, testing tends to be the highest-value place to put it. Two mistakes worth avoiding

The first is buying supplements in bulk on December 30 to zero out a balance — most everyday supplements are the hardest category to substantiate without documentation. The second is assuming a gym membership qualifies because exercise is healthy; general fitness spending usually does not, while structured training tied to a documented condition such as prediabetes, hypertension or fall risk has a much better case.
